JOB DESCRIPTION
ADMINISTRATIVE COORDINATOR 1

Whoever is in this position must be able to perform all of the Task Statements which are considered to be Essential Functions with or without a reasonable accomodation.

Position Summary: This position assists the Property Control Coordinator 2 with the various aspects of Property Control inventories including the tagging and recording of all new and surplus property in the Central Receiving Station and the Property Control Warehouse.

Task Statements which are considered to be Essential Functions:   95%

25%

    Locates and identifies new properties that are received in the Central Receiving Station. Places state property control tag on applicable items according to State Property Control Rules and Regulations. Records all pertinent information regarding items received such as brand name, product description, model, serial number, and quantity on purchase order or attachments and maintains files on this information. This involves opening very large, heavy boxes (occasionally as many as 50 to 100 in a day) and removing and replacing the contents in order to accomplish the task. Goes on campus to tag property and record information as necessary. Verifies all information against purchase requisitions and receiving reports. Complies information and submits to Property Control Coordinator 2.

    Organizes and maintains property and equipment housed in the Property Control Warehouse. This often entails moving large heavy furniture and equipment. Works with Property Control Coordinator 1 to organize surplus property to where it can be inventoried and retrieved easily.

    Directs the Moving Crew as to placement of property being received in the storage facility. When shipments arrive, checks transfer documents and ascertains if all equipment is accounted for. Makes reports of any discrepancies and reports to the supervisor. Verifies property control tag numbers and verifies all information on transfer document for accuracy of quantity, description, tagged versus untagged, etc. Reconciles transfer documents against actual property on site. Determines location in warehouse for placement and makes sure that property is placed there and stored properly and safely.

    Assist university patrons searching for equipment in the warehouse. Locates property in warehouse. Shows property to prospective user. If selection is made, records tag numbers (if applicable), description of item, destination (department), etc. to transfer document. Oversees the Moving Crew in the removal of property from the warehouse. Property Control Coordinator receives Transfer Document after delivery and makes changes to computerized inventory system. May assist i the loading of furniture and equipment.

    Maintains perpetual inventory of items in Property Control storage. Property Control Coordinator generates reports of inventory changes from transfer documents. Verifies, counts, descriptions, etc. on report to actual items on hand in the warehouse. Notes any discrepancies and submits reports to the Property Control Coordinator in order to resolve the discrepancies.

    Assists Property Control Coordinator in conducting audits of departments on campus when deemed appropriate. Inventories equipment for auditing purposes. Locates items, verifies tag numbers, descriptions, and quantities of furniture or equipment.

    Works with representatives from State Property Control when items are being shipped to the State Property Control storage facilities. Verifies accuracy, description, and quantity of items being shipped out to avoid inventory errors or problems that may arise. May assist representatives in the loading of equipment.

    Must possess a valid Louisiana Driver's License and be able to be certified by the SLU Defensive Driving Course as administered by the Director of Safety and Hazardous Material Management. Must be willing to use person vehicle for running errands and travelling to campus. Must be able to or willing to learn how to operate a forklift for moving large items or equipment in the warehouse.
